How to edit your website with Ask AI

This article explains how to change your website yourself with Ask AI, the editing assistant built into every website on the Refari Site Builder. It walks you through signing in, asking for a change, pointing at the exact part of a page you want changed, checking the result in a private preview, publishing it, and undoing it if you change your mind. It also covers writing new blog posts and pages, choosing photos, and what Ask AI leaves to your Refari dashboard or to our team.

What Ask AI is, in plain terms

Ask AI works like a conversation. You tell it what you want in your own words, the way you would brief a colleague, and it makes the change for you. There are no page builders, layout tools or settings screens to learn.

A few terms you will see throughout this article:

  • Your website: the private area where you and your team manage your site. It is where Ask AI lives.
  • Draft: a change Ask AI has made that is not on your live website yet. Only your team can see it.
  • Private preview: a view of your draft exactly as it will look once live, on desktop and on a phone. Visitors to your website cannot see it.
  • Publish: the button that puts a draft live on your website. Nothing changes on your live site until someone presses it.
  • AI credit: a small monthly allowance that pays for the AI’s work on your site (more on this further down).
Note: Nothing Ask AI does goes live by itself. Every change waits as a draft until an Editor or Owner at your company presses Publish, so you can experiment freely.

Signing in

  1. Go to sitebuilder.refari.ai/your-website. If you are already looking at your own website and signed in, you can instead press the Make changes button that appears on the page (see below).
  2. Enter your Work email.
  3. If you have set a password, enter it and press Sign in. If you have not, press Email me a sign-in link. You will receive an email titled “Your sign-in code for Refari” with a Sign in to Refari button and a 6-digit code. Either works, and the code is valid for 10 minutes.
  4. Leave Remember this device for 30 days ticked on your own computer so you are not asked again for a month. Untick it on a shared or borrowed computer.

Only people your company has invited can sign in. If you sign in from a new device, Refari asks for a one-off code as an extra check and emails you to let you know about the new sign-in. You can set or change your password at any time under Sign-in & security.

Idea: No password yet? Use the emailed sign-in link the first time, then set a password under Sign-in & security so you can sign in straight away next time.

Starting a conversation

Once you are signed in, ✦ Ask AI is the first item in the left-hand menu. It greets you by name and offers a few places to start: Write a new blog post, Add a new page and What should I write about? You can press one of those, or simply type what you want into the message box and press Send.

Some examples of things you can ask for:

  • “Change the heading on the home page to Specialists in aged care and disability recruitment.”
  • “Update our office phone number on the Contact page.”
  • “Add a page for our new Brisbane office.”
  • “Add a banner saying we are closed from 24 December to 2 January.”
  • “Check the SEO on our Candidates page.”
  • “Turn this LinkedIn post into a blog post” (and paste the link).

Ask AI asks one question at a time when it needs more detail, usually with options you can click and room to type your own answer. Each piece of work is kept as a conversation. Your past conversations are listed beside the chat, and + Start a new conversation gives you a clean slate for a new task.

Idea: The more specific you are, the better the result. “Make the About page better” leaves Ask AI guessing; “Shorten the first paragraph on the About page and mention we have placed over 2,000 people since 2008” gets it right first time.

Changing something on an existing page

There are three ways to tell Ask AI which page, and which part of it, you want changed.

Option A: from your live website

While you are signed in, your live website shows a small Make changes button. Press it on the page you want to change and Your website opens in a new tab, already on that page. Ask AI asks what you would like changed on it, and you reply in your own words.

Option B: from Pages & posts

In the left-hand menu, open Website > Pages & posts, find the page and press Change it. Ask AI opens a conversation about that page.

Option C: click on the exact spot

When a change is about one particular heading, paragraph, button or photo, the quickest way is to point at it:

  1. Press Comment above the page preview. A banner reads “Click any part of the page to comment on it”.
  2. Click the part of the page you want changed.
  3. A small box opens, showing the part you clicked. Type what should change and press Add comment (or Cancel). A numbered pin marks the spot.
  4. Add as many comments as you like across the page. The chat keeps count (for example “1 comment on the draft”). When you are done, press Make this change (or Make these changes if there are several).

To edit or remove a comment before sending it, click its pin. Press Clear to remove them all, or Stop commenting to leave comment mode.

While Ask AI works on your change

Ask AI shows you what it is doing as it goes. For a change to an existing page you will see:

  1. Making your change
  2. Building your website with it and checking nothing else changed

For a brand new page or post there are a few more steps: Reading your request, Planning the page, then Writing the words and placing the photo, before the same build and check.

A new page or post usually takes 3 to 5 minutes, and a change to an existing page is usually quicker. You do not have to wait on the page: we email you when a new page or post is ready, a chime plays when the draft is ready, and if you have switched to another tab its title shows ✓ Ready.

Note: That last step matters. Before showing you anything, Ask AI rebuilds your website with the change and checks that nothing else on the page moved or broke. You only ever review a change that has passed those checks.

Reviewing your draft

When the change is ready, it appears in two places: as a card in the conversation, and in the Draft panel beside it, marked Private preview. Switch between Desktop and Phone to see both, or press Full size to open the preview in its own tab.

The card reads “Your draft is ready, and it is private until it is published. Want anything changed? Just say it.” From here you can:

  • Ask for another change: just type what is still not right, for example “make that heading shorter”, or press Comment and click on the draft.
  • Publish: put the change live (see the next section).
  • Open the preview: open the draft in its own tab.
  • Swap the photo: choose a different image.
  • Change the plan or Start again: rethink a new page or post from its outline.
  • Throw it away: discard the draft. Your live website is untouched.

Once you have asked for a revision, you can also press Show what changed or Compare with the version before to see exactly what is different, and Use this one to pick the version you prefer.

Publishing your change

When you are happy with the preview, press Publish, or just type “publish it”. Ask AI replies “Publishing it now”, and the change is usually live on your website within a minute or two. You can also schedule a change to go live later, which is handy for banners and announcements.

Who can publish depends on the access level your company gave each person. These levels are set under Settings > Team:

In the table below: ✓ means yes, ✗ means no, and View means you can see it but not change it.

If a Contributor asks for a change, the Editors and Owners at your company are told it is waiting. It appears under Waiting for you and they receive an email. They can publish it, or press Decline and give a reason, which the person who asked can see. Anything left waiting for 7 days is cleared, so nothing stale is published by accident.

Done: Once you have pressed Publish, the card in the conversation shows the change as live. Open your website in a new tab and you will see it straight away.

Undoing a change

Changed your mind? You have two ways back.

Take it down straight away

Once a change is live, its card in the conversation offers Change this page, View it, Page history and Make another like this. Underneath, open the fold-out to find Take it down (or Take it back for a change to an existing page). Press it, confirm with Yes, take it down, and your website goes back to how it was. This works as long as nothing newer has been published since.

Go back to an earlier version

Open Settings > History. It lists every change, newest first: every published version of your website and every change to who has access. An Owner can press Put a page back to this version on any entry. If you need something older than the list shows, ask our team and we will restore it for you.

Writing a new blog post or page

Press Write a new blog post or Add a new page, or just describe what you want. Ask AI writes in a style that matches your website. If you would like a particular tone, say so in the chat (for example “keep it warm and conversational” or “write it for hiring managers in the public sector”).

Start from something you already have

You do not need to start from a blank page. Ask AI can work from:

  • A link, including a LinkedIn post. If it is your own post, it becomes your blog post. If it is someone else’s, Ask AI writes your own piece on the topic and credits the original author.
  • A file: PDF, Word, Excel, PowerPoint or plain text, up to 20 MB. Use the + button beside the message box.
  • Text you paste straight into the message box, such as notes from a meeting or a market update.
Idea: Not sure what to write about? Press What should I write about? and Ask AI suggests topics based on what is already on your website: your pages, your menu and the posts you have published, so new posts fill the gaps.

Choose the length

For a blog post, Ask AI asks How big should the post be?

OptionWhat you get
Quick readAbout 500 words. Good for news, announcements and quick tips.
StandardAbout 1,000 words with 2 pictures. The best fit for most posts.
In-depth guideAbout 2,000 words with 4 pictures. For salary guides, market reports and how-to guides.

Each option shows roughly what it will cost from your AI credit. You can also type your own length, anywhere between 300 and 2,500 words.

Choose the photos

When a page or post needs a picture, you can choose:

  • A photo already on your website
  • The Refari photo library
  • A new photo made by AI
  • Upload your own: JPEG, PNG or WebP, up to 8 MB.

If you ask for a photo to be cropped or brightened, Ask AI edits a copy and keeps your original untouched. Photos made by AI never contain text, numbers, charts or logos, because those are exactly the details AI images tend to get wrong.

What Ask AI takes care of for you

  • Readability: if a colour would make words hard to read, Ask AI uses the nearest colour that meets the accessibility standard (WCAG AA), so every visitor can read your site.
  • Speed: changes are built into fast, lightweight pages, so your website stays quick on phones.
  • Nothing else moves: each change is checked against the rest of the page before you see it.
  • Search engines: new pages and posts are added to your sitemap so Google can find them.

What is managed somewhere else

Some parts of your website are fed live from your Refari dashboard or your ATS (applicant tracking system), so they are kept up to date automatically and changed at the source rather than in Ask AI. Ask AI can change everything around them.

What you want to changeWhere to change it
Jobs on your job boardYour Refari dashboard under Jobs and Job Ads, or your ATS
Team member profilesYour Refari dashboard under Settings > Account Profile. Add new people under Company Users.
Reviews and testimonialsTopRec, under Testimonials > Feedback

Because jobs and other Refari widgets are fed live, they show on your website but not inside the private preview. That is expected, and they will be there once the change is published.

Ask AI also does not redesign your website: a new layout, new fonts or new logo artwork is a job for our design team. If you ask for something Ask AI cannot do, it tells you why and offers a Send it to the Refari team button. We reply with a quote, usually within one working day.

AI credit

Ask AI’s work is paid for from your website’s AI credit, shown at the top of the chat. A$5 is added on the 1st of each month, building up to A$15 if you do not use it. A typical page or post uses about 15 cents, so the monthly allowance covers a lot of work. If your credit runs out, Ask AI can still answer simple questions (such as listing your pages) and tells you how much credit the rest of the job needs.

Final Notes

Treat Ask AI like a capable member of your team: give it a clear brief, look over the preview, and ask for another change if something is not quite right. Nothing goes live until you press Publish, and anything you publish can be taken down again. If you get stuck, ask Ask AI to send your request to the Refari team, or raise a ticket with us and we will help.
