This article explains how to set and manage list media (job list media and candidate list media) in the Refari platform. You’ll learn how to select media per-advert, how hashtag-driven company rules work, how to avoid making Refari the advert owner (preserving ATS sync), and how to apply company/brand-specific labels.
How to set Job List Media (Step-by-step)
Follow these steps to choose the media that appears on your job board as the job list thumbnail.
- Open the job advert from the Job Ads tab and click "Edit job advert".
- Locate the "Set job list media" control within the edit modal.
- Choose either a media asset embedded in the advert or an asset from the company media library (the library includes items available via hashtag rules).
- If the item is a video, avoid clicking the video thumbnail itself (it may play or navigate). Use the small grey banner or the selection control to pick the item.
- Click Save to apply the change, then refresh the job board to verify the thumbnail updated.
Notes: Video thumbnails may display differently depending on the job board or talent board widget variant. Always preview the board variant you plan to publish.
Sync-friendly option (do not change advert ownership)
If the advert originated from an ATS or CRM and you want to avoid making Refari the owner (which would stop future ATS updates from syncing), use the sync-friendly "Set job list media" button from the Job Advert drawer
- The sync-friendly option shows only the media currently embedded in the advert (not the full company library).
- Select one of those in-advert assets as the list media and avoid clicking Save on the entire advert if you want to preserve ATS ownership and syncing.
Notes: If you edit and then Save a job advert in Refari after it’s been imported from an ATS, Refari becomes the advert’s owner and the advert will no longer reflect changes made in the original ATS.
Candidate / Talent Board (Candidate List Media)
Candidate adverts use the same selection patterns. Each candidate’s media is generally unique to that candidate (there is no global candidate media library). To set candidate list media:
- Open the candidate advert drawer and use the "Set Candidate List Media" button to pick from the candidate’s attached media.
2. Or edit the candidate advert and click on the 'Set Candidate List Media' at this stage. (the same rules about video selection and saving apply).

Customisable Labels Feature (Brand / Company Labels)
To append custom labels for brands or campaigns and have them control list media:
- In Company Settings, create hashtag or label definitions (for example: #scaleup, #brandX).
- Create media rules that map a hashtag/label to a specific media asset (assign a hero image or video to that label).
- Add the label to the job or candidate advert (in the advert description).
- The platform will use the configured asset when the label appears in the advert, unless manually overridden at the advert level.
Ideas: Keep a curated set of brand-approved assets per label to ensure consistent look and feel across boards. Use consistent file naming (e.g., brandX-hero.jpg) to make mapping easier.
Troubleshooting Checklist
- Thumbnail didn’t update? Refresh the job board and ensure you saved the advert.
- Video plays when you try to select it? Use the small grey selection banner to pick the item instead of clicking the thumbnail.
- ATS updates no longer appear in Refari? Check whether the advert was edited and saved in Refari; if so, Refari is likely the new owner.
